Minutes of Special Meeting – June 11, 2001

PRESENT:  Bert Kaplan, Carol Bingham, Anne Erickson, Charmaine Glew, and Gail Ryan.  Staff:  Susan Bullock, Director; Eileen Sickinger, Recording Secretary.  Friends Liaison: Bev Payne.
The meeting was called to order at 7:25 P.M. by Gail Ryan, Chairperson.  The minutes of the May 14, 2001 meeting were accepted as presented. There was no public audience and no communications.

COMMITTEE REPORTS: Friends: Bev Payne reported that author Pearl Dexter donated autographed copies of her book, Tea With Presidential Families, and money from the sale of the books would go to the Building Fund of the proposed addition.  She also informed the Board that Friends received Honorable Mention from Friends of Connecticut Libraries for the program, Night of a Thousand Stars.  There is one more meeting of Friends, at which time the new members of their Board will be inducted. This year there will be a liaison from Friends to the Board of Directors.

DIRECTOR’S REPORT: Mrs. Bullock reported that the “Take Your Kid Fishing” program was very successful.  Bert Kaplan reported that 25 pieces of fishing equipment was donated by the Recreation Boating & Fishing Foundation to the Library. Over 200 children participated in the event.
Mrs. Bullock met with Bill Selig, who has expressed interest in a joint fundraising activity in conjunction with the Auer 4-H Farm.  Mr. Selig serves on their Board.  She also met with Terry D’Italia, Assistant Vice-President for Marketing Communication for Chubb Associates.  He is interested in assisting in the fundraising for the building program.  Mrs. Bullock will continue to be in touch with both parties as fundraising moves forward.
Volunteer Boyd Hopkins has offered to develop a fundraising database.

The “Rookie Bookies”,  the Library’s Relay for Life Team, will be at Simsbury High School on June 22 and 23 to raise funds for cancer research.  Board members have been invited to join the team.

Patricia Valsecchi has been appointed the new full-time adult Circulation Assistant.

Attached to the Director’s Report were letters sent to Bev Payne on how Friends’ fund have been used over the last year.
Thirteen computers were purchased from ConnectiCard funds.  They can be used to run the new SIRSI software and Netscape.
SIRSI problems continue and while this Library’s problems are not as serious as others are, delays continue.  The president of SIRSI will meet with users at their next meeting to try to iron out the difficulties.  As an employer of special needs students from Simsbury High School, the Library was awarded a special plaque from the High School’s STEP program.

BUDGET: With some careful end-of-year transferring and encumbering of funds, the 2001 budget will end in the black.  FOR FY 2001-2001, Sunday hours will start in September.

BUILDING PROGRAM: While the architect has not signed a contract for the next phase of the building program, Mrs. Bullock has been assured one will be signed soon.  

FUNDRAISING:  Carol Bingham reported that she checked with representatives of the Simsbury Land Trust and the Farmington Public Library on their recent fundraising programs.  The organization they used did a preliminary study on their future needs and goals.  Since this Board has passed this point the Board felt there is a need to research how to proceed in fundraising for the proposed building addition. Charmaine Glew moved that Mrs. Bingham proceed forward and obtain a prospectus from Clemow & Associates, with a price for their services.  Second:  Anne Erickson. So moved.  Mrs. Bullock and Mrs. Ryan will be meeting with Anita Mielert for her guidance on fundraising.

DIRECTOR’S EVALUATION REPORT: Mrs. Bullock will have a copy of the necessary evaluation form for the July meeting.  She also noted that she will be on vacation from June 26-July 15.
